Who we are
REPS Record is an hours, mileage and expense log for owner-operator real estate investors documenting real estate professional status. Questions about this policy or your data: matt@livelocally.com.
What we collect
- Account basics — the name, email address and profile picture your Google account returns when you sign in.
- Your ledger entries — the dates, hours, properties, tasks, trips, mileage, expenses and notes you enter, plus the compressed photos you attach as evidence.
- Portfolio setup — your properties, activity categories, locations, annual hour goal and the partners you invite.
How we use Google Sheets and Google Drive
When you connect Google, REPS Record asks for your name and email address (userinfo.email, userinfo.profile) and for per-file access to the files it creates in your Drive (drive.file) — for both the Drive and the Sheets connection. That scope is deliberately narrow: REPS Record can only see and change the folders, spreadsheets and photos it created for you. It cannot read, list or open anything else in your Drive or any other spreadsheet in your account, including documents you created yourself or files someone shared with you.
We use that access to create a ledger folder you name, a folder and spreadsheet per tax year inside it, the Hours, Mileage and Expenses tabs, the rows for your entries, and the uploaded photo evidence. We share those app-created files with the partners you invite so your household writes to one ledger. We never delete files you created.

What we never do
- No advertising, ad networks, third-party trackers or behavioural profiling.
- No selling, renting or sharing your data with data brokers.
- No reading your email, contacts, calendar or location.
- No background location tracking — mileage is entered by you, by hand.
- No using your ledger content to train machine learning models.
Where your data lives
Your entries are stored in REPS Record's managed database so the app works offline-first, keeps an audit-grade edit history, and can rebuild your Sheet if it is deleted. Your Google credentials are never stored in readable form: the connection handle is encrypted before it is written, and Google access tokens are held only by the connector service that makes the calls. Photos are compressed on your phone before upload — the original full-resolution image never leaves your device and is never saved to your camera roll when you use the in-app camera.
Retention and deletion
You can revoke Google access from the Settings screen at any time; the encrypted connection handle is deleted immediately and syncing stops. Files already written to your Drive belong to you and stay there. To delete your REPS Record account and every entry we hold, email matt@livelocally.com and we will erase it within 30 days. You may also remove REPS Record's access from your Google account permissions page.
Google API Services User Data Policy
REPS Record's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Changes
If this policy changes materially, we will update the date above and show a notice in the app before the change takes effect.
